How to Set Up Task Templates

With the Summary view for each email created, you’ll notice the section: Tasks.

What are Tasks / the Task Template?

Utilize a Task Template to standardize processes, maintain brand integrity, and get full visibility into progress. It saves you time by tailoring tasks to your unique email creation and review process. You can even track when tasks are completed, and more specifically, who completed them.

Once set up, the Task Template will display for every new email created. You can edit, add, or delete tasks specifically to each individual email.

NOTE: The Task Template has replaced Custom Checklist. Custom Checklist is now the Task Template that displays on the Summary view of an email. This allows your custom tasks to encompass the entire email workflow, rather than just in the QA view.

Creating + Managing Task Templates

Can I create multiple Task Templates in my account?

Currently, you can only create one Task Template per account (or per sub-account.) Your Task Template will automatically be added to every email you create in your Litmus account.

Who can create a Task Templates\?

Anyone who is a Full user or above can create a Task Template. Any changes that are made/added to your Task Template by your users will be reflected going forward on all emails created in the account by any user. 

Can I assign Task Template tasks to team members?

You can set up tasks in your Task Template that are to be approved by certain team members. For example, an item that notes “Sally needs to approve all designs before client sign-off.”

However, keep in mind that by creating a task for a user to approve, there are no notifications to the user that this has been created for them. They will need to be made aware of this item to approve and have at least Full access in your account.

Can I assign Task Template tasks to outside clients?

You can set up tasks in your Task Template that are to be approved by your clients. For example, “John Smith needs to approve designs for Agency designer.”

However, keep in mind that by creating a task for a client to approve, there are no notifications to the user that this has been created for them. They will need to be made aware of this item to approve and have at least Full access in your account.

How do I edit/add to my Task Template?

To add or edit items in your Task Template, visit the Task Template settings within your account, or click on “Task Template” within the Summary view of any email. Once here, you can update your Task Template.

Keep in mind that a Task Template is a set of global, shared items across your account—any changes you make will appear in every email create in your account by your team.

Can I have the Task Template appear for some emails but not others?

Currently, this is not possible. If you setup your Task Template it will appear on every email you create. However, you can delete, edit, or add Tasks to each individual email within the Summary view.
